Vardhaman, an agricultural products company dealing in seeds, fertilisers, and pesticides, was running their entire distribution operation on disconnected spreadsheets and WhatsApp groups. Orders came in via phone, stock was tracked manually, and the sales team had no visibility into what was available at which warehouse.
We built a comprehensive ERP covering their entire product-to-payment cycle. The product catalogue module manages thousands of SKUs across seeds, fertilisers, and pesticides with seasonal availability flags, regulatory information, and crop applicability tags. Dealers and distributors browse the catalogue, place orders, and track order status through a dedicated portal without calling the sales team.
The inventory module tracks stock across multiple warehouses in real time. When a dealer places an order, the system checks available stock at the nearest warehouse, reserves the quantity, and triggers a fulfilment workflow. Low-stock alerts fire 7 days before projected stockout based on current order rate giving the procurement team time to reorder. Before this, stockouts were discovered only when a dealer called to complain.
The dealer/distributor network management module handles the full hierarchy: company → regional distributors → local dealers. Each level has its own pricing tier, credit limit, and order approval workflow. Regional managers can see the performance of all dealers in their zone from a single dashboard.
Field sales reps use a Flutter mobile app that works offline (essential in rural areas with poor connectivity) and syncs when connectivity is restored. They can place orders on behalf of dealers, log farm visits, access product information, and see their daily targets vs. actuals.
AI capabilities: A demand forecasting model incorporates season, historical order data, regional crop cycles, and weather data from an API to predict stock requirements 30–60 days ahead. Procurement teams receive automated purchase suggestions with confidence intervals "we estimate demand for Product X in Region Y will be 12–15 tonnes in the next 30 days, current stock is 4 tonnes." A pricing recommendation engine monitors competitor pricing data and demand signals to flag where Vardhaman may be over- or under-pricing relative to market. A crop recommendation module presented to the field sales team suggests which products are most relevant for specific crops and growing regions, helping reps have more informed conversations with farmers and dealers.

Predicts 30–60 day stock requirements per SKU per region. Incorporates historical orders, seasonal crop cycles, and weather API data. Generates procurement suggestions with confidence intervals reviewed and actioned by the procurement team rather than manually compiled from gut feel.
Regression model trained on 3 years of historical orders, enriched with regional crop calendar data and weather API signals. Generates per-SKU, per-region demand forecasts for the next 30 and 60 days. Procurement team receives automated purchase suggestions: product, quantity range, timing, and confidence level.
Monitors competitor pricing data (scraped from public sources and entered by field reps), tracks per-product demand velocity, and generates pricing recommendations weekly. Flags products where Vardhaman is priced more than 8% above or below market helping the pricing team make proactive adjustments rather than reactive ones.
Field sales reps enter the crop type and region they're visiting; the engine surfaces the most relevant products (seeds suited to that crop, compatible fertilisers, applicable pesticides) with suggested application timing. Reps walk into farmer conversations prepared with contextual product recommendations rather than a generic catalogue.
